Trafalgar Property Management: Commercial Portfolio Administrator

Introduction

An exciting opportunity exists in our Cape Town branch for a Commercial Portfolio Administrator to effectively assist and support the Commercial Manager with the portfolio by preparing and maintaining all relevant documentation including lease agreements as well as liaising with clients. Keep records and accounts accurate and current.  Rent collection and debtors control of portfolio. Completes related reports, summaries, records and performs related clerical duties.

Duties & Responsibilities

Assumes responsibility for the accurate and timely completion of assigned portfolio administrator/debt collector’s functions, including:

  • Drafting of lease agreements
  • Ensuring that FICA requirements are adhered to
  • Prepare lease commission schedule and checklist
  • Capturing journal entries
  • Load and adjust debit orders
  • Collection of overdue rentals
  • Addressing client queries
  • Reconciliations of tenant’s accounts
  • Printing and sending of monthly statements
  • Loading of monthly utility recoveries
  • Sending financial packs to owners
  • Loading invoices (adhoc & recurring)
  • Attending to deposit refunds
  • Logging maintenance jobs
  • General admin and filing

Desired Experience & Qualification

  1. Matriculation
  2. Computer Literacy (Microsoft Outlook, Excel and Word essential)
  3. At least 2 years’ experience as a PA / general office administration
  4. Commercial experience an added advantage
  5. Understanding of the Debt Collections Act and procedures an added advantage.
