Specification
The successful incumbent will provide diary and travel management for the Chief Executive Officer – SA. This role will also assist the broader Executive Management with travel arrangement and administration from time to time.

Duties and responsibilities
•Manage the diaries, meetings and travel arrangements of the Chief Executive Officer – SA and 2 other executives.
•Assist the Chief Executive Officer – SA and manage output, workflow and office deadlines
•Manage the Chief Executive Officer – SA’s emails
•Assist the Chief Executive Officer – SA with occasional personal errands
•Co-ordinate internal and external meetings
•Develop and maintain Excel spreadsheets and filing systems
•Compile relevant information for creation of presentations
•Prepare agendas as directed and draft minutes of meetings
•Screen calls and answer queries where possible
•Compile and collate board and management packs
•Draft, type and dispatch the Chief Executive Officer – SA’s correspondence as directed
•Deal with main board of directors
•Undertake any other duties as requested by the Chief Executive Officer – SA

Requirements
Qualifications & Experience
•Minimum Matric
•Relevant Secretarial Certificate/Diploma
•BA degree would be advantageous
•5 Years relevant working experience as a Personal Assistant or as a Team Secretary supporting executive management

Competencies and Skills
•High computer literacy – proficient in Word (essential), Excel (essential) and PowerPoint (essential)
•Accurate speed typing skills
•Minute taking, shorthand – preferable
•Ability to organise and prioritise
•Strong interpersonal skills – an ability to interact with people at all levels
•Capable of working in a pressurized environment – able to occasionally work unsociable hours and with an increased workload
•Good business sense and able to pick up concepts quickly
•Strong sense of discretion
