Key responsibilities of this role
•Filing
Save purchase and sales contracts and create a reference to file and place in correct spot
To ensure that documentation is easily accessible in an organized electronic filing system

•General Office administration
Answer incoming calls
Take messages
Approval of all invoices by AlphaAlfa Manager before sending to head office for payment
Keep reception area neat and tidy
Support staff regarding parcels received/sent

•Stationery orders / office supplies
Responsible for ordering paper and other stationery as required by staff
Submit stationery order invoice for payment after approval, and filing of invoices

•Logistics
Responsible for capturing all the transport load confirmations in AlphaAlfa
Sending all the load confirmations to the transporters timeously after approval by the Contract Administrators
Support to ensure correct purchase orders

•Contract Administration
Complete producer/sales contracts documentation in compliance with regulatory environment and company policy, after
capturing a contract number on the traders’ deal sheet
Support AlphaAlfa Traders / Contract Administrators with the correct complete contracts for producers/buyers on time.
